COMPLIANCE, GDPR & SECURITY

Many businesses, particularly in heavily regulated industries, such as legal, healthcare or financial services, have strict regulations and eDiscovery requirements they have to take into account when managing their emails. MailXmaster's system of shared workspaces enables all information relating to a specific client or project to be kept in a single location thereby simplifying the eDiscovery process. A system of user access privileges ensures that users only have visibility of data stored in workspaces to which they've been invited; whilst data integrity is guaranteed by only giving users with the highest access levels the ability to delete information.

Data Redaction

GDPR

Under Article 17 of the GDPR individuals have the right to have their personal data erased. This is often known as the “right to be forgotten” (RTBF). People’s personal information can be embedded in 100s of electronic documents and emails which can make RTBF requests extremely difficult for organisations to deal with.

MailXmaster's redaction facility lets you remove all identifying information - Name, Phone Number, Email Address etc - from the database whilst keeping potentially valuable content intact.

Security

All data in MailXmaster is fully encrypted and hosted using Amazon Web Services (AWS). The AWS database(s), hosting and data processing services are located in the eu-west-2 region (London) across 3 Availability Zones (data centres). Each Availability Zone runs on its own physically distinct, independent infrastructure, and common points of failures are not shared across Availability Zones. Additionally, they are physically separate, such that even extremely uncommon disasters such as fires, tornados or flooding would only affect a single Availability Zone. As such you benefit from a data centre and network architecture built to meet the requirements of the most security-sensitive organisations.
